(Discussion)💬
(Decision)📌
- Discussion: Multiple options were discussed, including A and B.
- Decision: Option A was approved.
① Meeting Info(基本事實)
- Date / Time
- Attendees
- Purpose of meeting
② Discussion Highlights(只記重點,不下結論)
- Option A was discussed
- Concerns around timeline were raised
③ Decisions(一定要獨立列出)
- Decision: Proceed with Option A
- Approved by: XXX
④ Action Items(行動 ≠ 決策)
- Action: Team to prepare proposal
- Owner: XXX
- Due date: XXX
Email Recap
Meeting Notes 📧
“Please let me know if there is any misalignment.”
📌 One Key Idea: Meeting Notes Are Records, Not Opinions
Many people write meeting notes as:
- Personal summaries ✍️
- Interpretations 🧠
- “Everyone agreed…” statements 🗣️
That’s how people accidentally own decisions.
Safe meeting notes do one thing:
They show who said what, and who decided what.
🧭 Rule #1: Separate Discussion from Decision
Every meeting includes:
- Discussion 💬
- Decision 📌
Unsafe:
“The team agreed on Option A.”
Safe:
- Discussion: Options A and B were discussed.
- Decision: Option A was approved.
✍️ The Four Safe Sections of Meeting Notes
① Meeting Info
② Discussion Highlights
③ Decisions (clearly separated)
④ Action Items
🚫 Three Silent Ways to Take the Blame
❌ Using “we” as the subject
❌ Using vague verbs
❌ Turning actions into decisions
🛡️ One Must-Do Step: Post-Meeting Recap Email
End with:
“Please let me know if there is any misalignment.”
📌 Final Thought
Safe meeting notes won’t make you sound smartest.
They’ll make you safest when directions change.
